Answer summary to a respondent

Sending a summary of respondent’s answer to their email depends on how the respondent has accessed the survey. There are three different automations that can send the summary. The first is only for email invite surveys. The latter two are meant to be used with common survey link that is same for all respondents.

  1. Send summary via email to identified recipient automatically
  2. Send summary via email to following address(es) automatically
  3. Send summary via email to recipient if requested

Here are the needed steps for each automation:

Automatic summary from a survey with email invite respondents:

This automation works only if the invitation to your survey was sent from Surveypal to email addresses. This is also known as ’email survey with personal response links’.

  1. Select the action: Send summary via email to identified recipient automatically
  2. Set the needed changes to the sender, topic and message fields
  3. (Message field should contain at least the text {{summary}} or {{condsummary}} if you wish to get recipients answer summary to the email notification)
  4. ‘When response has been completed’ condition is preset and enough for the automation to work
  5. Save

If you need more detailed rules for the automation, check the steps from below:

  1. Click ‘Create additional rules’
  2. You can create multiple additional rules by clicking the plus symbol on the right
  3. Choose wether the survey answer has to fit ‘all of the’ set conditions or to ‘some of the’ set conditions.
  4. Save

Automatic summary from a survey where email is asked on the form

This automation needs an open field set as email address input in the survey form. Add one and check that the input type is set as email in the element settings. (Click the element gear menu to find the settings.) If the survey has been published already, you can still check the element settings. If the survey has been launched and there’s no open field for email address in the survey, you have to make a copy of the survey to be able to add that.

  1. Select the action: Send summary via email to following address(es) automatically
  2. Type to the recipient field: {{email1}} (the tag picks the email address from the form)
  3. Set the needed changes to the sender, topic and message fields. (Message field should contain at least the text {{summary}} or {{condsummary}} if you wish to get recipients answer summary to the email notification.)

  4. Save

If you have more than one email field in the survey, you can send summaries to all those emails that the respondent types in the survey. Just use tags {{email1}}, {{email2}}, {{email3}} etc. in the recipient field of the automation.

Respondent requests the answer summary

With this automation the respondent is asked to type their email address after submitting the survey answers.

  1. Select the action: Send summary via email to recipient if requested
  2. Set the needed changes to the sender, topic and message fields
(Message field should contain at least the text {{summary}} or {{condsummary}} if you wish to get recipients answer summary to the email notification)
  3. ‘When response has been completed’ condition is preset and enough for the automation to work

  4. Save

Please note!

{{condsummary}} includes ONLY the questions the respondent answered.
{{summary}} includes also the questions that the respondent didn’t answer.
